Terms of Service

Governing use of the IAMM TAPC 2026 registration & event platform

These Terms of Service ("Terms") govern your access to and use of the website, registration portal, dashboard, and related services for the XXIX IAMM TAPC Chapter Annual Conference 2026 ("Conference", "IAMM TAPC 2026", "we", or "us"). By creating an account, registering, making a payment, or continuing to use the platform, you agree to these Terms and to our Privacy Policy, which is prepared in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act").

1. Acceptance of Terms

  • You must be at least 18 years of age, or acting with verifiable parental/guardian consent where required under the DPDP Act, to create an account or register.
  • If you register on behalf of another person or an institution, you confirm you are authorised to do so and to provide their personal data lawfully.
  • If you do not agree to these Terms or the Privacy Policy, you must not use the platform or complete registration.

2. Description of Services

The platform enables, among other things:

  • Account creation, login, and profile management.
  • Conference and workshop registration, fee calculation, and online payment.
  • Abstract submission and related scientific workflows.
  • Issuance of confirmations, invoices, badges/QR codes, and event-related communications.
  • Dashboard features for delegates and authorised organisers (subject to role-based access).

The Conference is organised under the academic/professional auspices of IAMM TAPC Chapter at AIIMS Mangalagiri. Technical platform services may be provided by Eventtrix as a service provider/Data Processor.

3. Accounts & Accuracy of Information

  • You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
  • You agree to provide accurate, complete, and up-to-date personal and professional information. False or misleading information may result in cancellation of registration without refund (subject to the Refund Policy and applicable law).
  • You must promptly update your profile if your contact details change, so that we can fulfil registration and DPDP notice obligations.
  • Notify us immediately at iammtapc2026@gmail.com if you suspect unauthorised access to your account.

4. Registration, Fees & Payments

  • Registration categories, workshop fees, early-bird / regular pricing, and inclusions are as published on the website and may be updated by the Organising Committee.
  • Payments are processed through authorised payment gateways. A registration is confirmed only upon successful payment (or approved complementary/special registration, where applicable).
  • You authorise us and the payment gateway to process the transaction amount and applicable taxes/charges.
  • Refunds, cancellations, and deductions are governed exclusively by our Registration Refund Policy.
  • Failed, pending, or disputed payments may result in withheld confirmation, badge issuance, or entry until resolved.

5. Personal Data & DPDP Act Acknowledgement

By using the platform you acknowledge and agree that:

  • The Organising Committee acts as Data Fiduciary under the DPDP Act for personal data collected for Conference purposes.
  • Your personal data will be processed for the purposes described in the Privacy Policy, including registration, payments, communications, abstracts, on-site operations, and legal compliance.
  • You provide consent (where consent is the applicable ground) that is free, specific, informed, unconditional, and clear, and you may withdraw consent as explained in the Privacy Policy, subject to consequences for service delivery.
  • You have the rights of a Data Principal under the DPDP Act (access, correction, erasure, nomination, grievance redressal, etc.) as set out in the Privacy Policy.
  • You will not submit personal data of another individual unless you have lawful authority and have provided necessary notice/consent to that individual.

6. Acceptable Use

You agree not to:

  • Misuse the platform, attempt unauthorised access, scrape data, or interfere with security or availability.
  • Upload unlawful, defamatory, infringing, or harmful content, including in abstract submissions.
  • Share login credentials, forge identity, or register using another person's details without authority.
  • Use Conference materials, badges, or confirmations for fraudulent or commercial purposes unrelated to legitimate attendance.
  • Violate any applicable Indian law, including the Information Technology Act, 2000 and the DPDP Act.

We may suspend or terminate access, cancel registrations, and take legal action for violations.

7. Intellectual Property

  • Website design, logos, branding, software, and Conference materials remain the property of the Organising Committee, IAMM TAPC Chapter, Eventtrix, or respective rights holders.
  • Abstracts and scientific content remain subject to the authors’ and Conference’s applicable academic/publication rules; by submitting, you grant us a non-exclusive licence to use the submission for Conference programme, review, and related academic purposes.
  • You may not copy, modify, or redistribute platform software or protected content without prior written permission.

8. Conference Changes & Force Majeure

The Organising Committee may modify dates, venues, schedules, speakers, workshops, or format (including hybrid/online elements) where reasonably necessary. We are not liable for failure or delay caused by circumstances beyond reasonable control, including natural disasters, epidemics, government restrictions, strikes, or infrastructure failures. Any fee adjustments or refunds in such cases will follow Organising Committee decisions and the Refund Policy.

9. Disclaimers & Limitation of Liability

  • The platform is provided on an "as is" and "as available" basis. We do not warrant uninterrupted or error-free operation.
  • To the maximum extent permitted by Indian law, we are not liable for indirect, incidental, special, or consequential damages arising from use of the platform or attendance decisions.
  • Our aggregate liability relating to registration fees shall not exceed the amount actually paid by you for the affected registration, except where liability cannot be limited by law (including personal injury caused by negligence, or statutory rights under consumer/data protection law that cannot be waived).
  • Travel, lodging, and visa arrangements are your sole responsibility unless expressly stated otherwise in writing.

10. Indemnity

You agree to indemnify and hold harmless the Organising Committee, host institution, platform provider, and their respective officers from claims arising out of your breach of these Terms, misuse of the platform, or unlawful submission of personal data or content.

12. Governing Law & Dispute Resolution

These Terms are governed by the laws of India. Subject to mandatory rights under the DPDP Act and other applicable statutes, courts at Vijayawada / Andhra Pradesh shall have exclusive jurisdiction over disputes arising from these Terms or use of the platform, without prejudice to any statutory forum (including the Data Protection Board of India) for data protection matters.

13. Changes to Terms

We may revise these Terms from time to time. The updated version will be posted on this page with a revised "Last updated" date. Continued use of the platform after changes constitutes acceptance of the revised Terms.
